Post-Publication Essential Change Requests
Please note that this process is still being piloted. Do not submit a form unless it has been communicated to you that your School is part of the pilot.
Changes to the published timetable will only be accepted if submitted using the appropriate online form, which may be found at the link below.
Only certain categories of change request are agreed by UBTSLE to be essential and will be made, where it is possible to do so. Requests that do meet these categories may not be accommodated. The agreed list of what is considered essential can be found here.

Why are you implementing a form?
The Timetabling & Room Booking Team know that our processes need to be as efficient and user friendly as possible. Using Microsoft Forms increases transparency around our processes, setting clearer expectations both for us and our colleagues. Using a form also creates a regular and consistent format of information, which both makes the process easier for all parties, while also allowing for data analysis that could drive future process improvements.

When can I start using the form?
The pilot is being launched in time for the publication of the Semester 2 timetable of the 2025/6 academic year, on the 10th of December 2025. On this date, we will begin to accept any submitted requests that come to us using the form.
What information can I submit?
The form is designed to allow staff to submit Post-Publication Essential Change (PPEC) requests. Therefore, it should only be used to request changes to the published timetable. Publication dates are communicated to staff and are also available on our web pages.
It is not designed for the submission of timetabling information for future academic years or to comment on the draft timetable.
What requests can I make?
As stated in the Timetabling & Room Booking policy, the University seeks to ensure as much consistency in the timetable as possible and to minimise changes to the published timetable. This allows students to properly plan their travel, work and caring responsibilities.
As such, only certain categories of change request will be agreed to be essential and will be made, where it is possible to do so. The list of what is considered essential has been agreed by UBTSLE and can be found here: /crbt/timetabling-and-room-booking-policy/post-publication-timetable-changes.
You may still request a change that does not fall within these categories. In these cases, further information may be required, and your request may need to be referred for approval before any action may be taken. In these cases, the Timetabling & Room Booking Team will advise you of the next steps of the process.
How will we communicate with you after I make a request?
When you submit a form, the details are processed and converted into an email, which is sent to both us and to you in copy. If we have any questions, or if you realise you’ve made an error, this email then becomes the basis for further communication. Once we have processed the change request, we will reply to you via email.
Can I still email you directly with my requests?
We are always happy to liaise with our colleagues if you have questions before you submit a form. However, for the form to be effective, it requires everyone to use it, and for a culture to be created in which submitting a form becomes the accepted process. As such, if you make a request by email, your request will not be actioned, and you will be asked to submit a form instead.
Can I submit feedback on the process itself?
The Timetabling & Room Booking Team welcome feedback on this process. Please email timetabling@reading.ac.uk with your comments. As the use of forms is being piloted for Semester 2 in 2025/6, we will undertake a full review before rolling out the process out University-wide for Semester 1 in 2026/7.
